The role of the full-time Accounting and Payroll Manager is an integral part of the business office. This person is responsible for the day to day accounting operations focusing on Revenue / Billing Contract management and Accounting, Collections and Bill payment, Semi-monthly Payroll processing, Quickbooks accounting, Vendor management and Retirements accounts management

Waldorf School of the Peninsula (Preschool – Grade 12) is celebrating its 40th year of bringing Waldorf education to Northern California. Our school has two beautiful campuses: Preschool through grade 5 in Los Altos and a few miles away in Mountain View are grades 6-12. Essential Job Duties

Essential Duties and Responsibilities: 

  • Accounts Receivable – setting up new families in system, recording all tuition and fees payments received in Quickbooks, follow up on past due accounts, cash receipts
  • Enrollment –  student contracts, midyear enrollment and withdrawal processing, assisting Director of Finance and Operations with re-enrollment process
  • Tuition Adjustment – Reviewing signed contracts for tuition adjustment, contract amendments, recording amended contracts in system
  • Accounts Payable –  review check requests, check and payment management, store invoice and consignment payments, credit card payments
  • Payroll – process semi-monthly payroll, review timesheets for completion and accuracy, send email reminders to hourly employees and supervisors, process expense reimbursements, record journal entries for payroll, vacation accrual reports, 941 to Quickbooks
  • Banking – reconcile all checking and investment accounts, follow up on stale dated checks
  • Other tasks – Reconcile Balance Sheet accounts, workers compensation audit, prepare worksheets for auditors, ACA reports, 1099 for contractors, data & file cleanup and other duties as assigned

 

 

Qualifications

Job Requirements and Qualifications:

  • Bachelors’ Degree, in Accounting or Finance
  • Strong experience in bookkeeping and/or accounting and finance
  • Non-profit/Independent School sector experience preferable
  • Requires solid knowledge and understanding of accounting principles
  • Highly detail oriented, well-organized, flexible, and collaborative individual who enjoys working in a team-driven environment
  • Able to multitask in a fast paced, deadline driven environment, while always maintaining a customer service focus
  • Common sense, professional decorum, and clear and concise communication skills are critical due to regular interaction with parents, faculty, and administrators and business partners Paycom or similar experience preferred 
  • Smart Tuition Experience Preferred
  • Proficient in QuickBooks
  • Proficient in Microsoft Office, especially Excel and Word
  • Proficient in Google applications, including Gmail, Google Sheets and Google Docs
  • In-person attendance necessary to provide effective performance during normal business hours

 

 

Employment Details

Benefits and Compensation:

Waldorf School of the Peninsula provides medical, dental, and vision coverage for the employee and their dependents. A generous tuition remission benefit is available for children of the employee, 19 holidays and 3 weeks vacation. Depending on experience, certification and education, the yearly salary range is $80,000-90,000.
